With a team of over 800 employees spread across 50 locations, they have a vital role in the UK’s construction and waste management sectors. Transporting over 20 million tonnes of materials annually means that operations are complex, requiring effective logistical management. The Challenge The client was facing significant challenges in managing the large volume of paper tickets and delivery records generated by their supply chain. With around 40,000 tickets to process manually, the task of reading, digitising and matching these documents was time-consuming and highly prone to human error. The existing system used to partially scan and read tickets was not performing well, leading to additional manual effort. The organisation needed a more efficient, automated way of processing delivery tickets. The ability to link delivery tickets to core systems and validating invoices was critical to improve overall operational efficiency. How We're Helping Following our discovery work with the client, we focused on using the Sentinel AI-powered solution to enhance the client’s ticket processing and invoicing workflow. Our solution involves 4 key features: AI-Driven Ticket Reading Our AI system reads and digitises scanned delivery tickets, including handwritten delivery notes, and automatically extracts key data such as net weight, type of delivery and other relevant criteria. Automated Matching The AI system matches the scanned tickets to the corresponding records in the Company’s invoicing and transport systems, based on predefined criteria like delivery type and weight. This helps to ensure that only correct and verified transactions are processed. Seamless integration Our solution integrates with the client’s core systems, including finance and logistics, allowing for the seamless flow of data across platforms. This integration ensures that anomalies can be quickly identified, and discrepancies addressed in real-time. Flexible manual override Given the variety of formats in which the tickets are received, we proposed implementing a manual override feature, allowing operators to manually accept or reject matches if required.     Sentinel Partners' wide-ranging data solutions for early intervention and support across Birmingham Children's Trust Customer Success Story: Birmingham Children's Trust Background Birmingham Children’s Trust (BCT) needed to improve how it identified and supported thousands of families across the city. As part of the UK’s national Supporting Families programme and focus on early help, local authorities are assigned a target number of families to identify, work with and support. Identification of eligible families, however, is a significant challenge. Operating the programme requires multiple delivery teams and partner agencies to collect data then manage it across different systems and databases. Data must be matched to form a complete view of individuals and family members and then combined into family compositions. Improving data management would be a crucial first step to achieving the Trust’s objectives. “One of the drivers in the use of data is the moral imperative to make people’s lives better where they’re facing a particular challenge. Using data effectively through Sentinel has been an aid to us, triangulating what we think we know is helpful, and telling us what we should know is valuable.” Daniel Taylor Supporting Families Programme Manager, Birmingham Children’s Trust Solution For families that qualify, continual monitoring of needs and progress is required. This would be a daunting challenge for any local authority, but for a city the size of Birmingham, the task is massive. Integrating and profiling needs to be automated reliably to enable local authority teams and their partners such as BCT, to focus efforts on those most in need. Sentinel deployed its Data Platform to enable BCT to integrate, transform and profile extremely large volumes of complex data consistently and compliantly from any source. Using the platform as a base, we deployed a comprehensive solution with multiple components: Children’s data hub – integrating three data feeds and 450,000 records. Supporting Families solution – encompassing the original Troubled Families Programme phases 1 and 2 and the current Supporting Families Programme (phase 3). Supporting Families Portal – designed address the requirements of Supporting Families. Covid 19 response – integrating 13 new NHS data feeds to provide a single view of at-risk individuals. Migration to cloud – managing a seamless data transition from on-premises systems to a cloud-based repository. Insight analytics – a dashboard for senior management to support decision making. Due to the sensitivity of the information involved, strict record controls and access rights were an integral part of the solution. Information is strictly protected and only shared on a tightly controlled, need-to-know basis. Sentinel’s Supporting Families Solution – Key Capabilities Integrates data from any council or partner agency system. Merges and matches data from any number of source repositories. Creates a complete picture of each family member. Bespoke profiling tools provide a fully flexible and automated method of measuring each families’ circumstances against programme eligibility criteria. A Supporting Families Case is created automatically for each family composition. The solution tracks incidents, events and outcomes for all families, along with monitoring of support services provided. The solution also highlights families eligible for Payment by Result (PBR) claims. View Sentinel and BCT's joint presentation to UK Authority Results BCT has successfully used Sentinel’s Supporting Families solution across all phases of the national programme, enabling them to meet all central government targets. The solution has been extended and enhanced several times to meet all national and local government’s requirements and objectives for subsequent phases of the programme. Using Sentinel’s platform, the trust can now identify more families in need – regardless of whether they are already working with the family or not. The BCT team could confirm the eligibility and Payment by Results (PBR) status of more families for the programme with greater ease. Many of these families are now funded, with successful outcomes, achieving significant and sustained progress. The Sentinel data platform has also enabled the council to identify significantly more cases of domestic and emotional abuse that might previously have been missed.     Home Group steps forward with pioneering data system Book a Free Consultation A pioneering new data system is enabling Home Group to improve its asset management by building accurate ‘golden records’ of every one of its 55,000 properties. Developed by Sentinel Partners, the newly-launched system has already improved data quality and reporting capabilities, and plans are being made to extend its use across the Group. “Having Sentinel’s data hub in place is a big step forward. It will be central to our ongoing data strategy for managing both properties and customers,” explained data architect, Kevin Marsden. One of the largest housing associations in the UK, Home Group owns almost 55,000 homes which are lived in by 116,000 people. Home Group recognised the need to consolidate asset and customer information held in different systems and databases. The Group saw how it could benefit from Sentinel’s industry-leading Master Data Management (MDM) solution used by local authorities, and its data specialists worked with Sentinel’s team to create a housing-specific version. “The project has delivered a platform that is seen as an enabler to our overall data management strategy and the hub will continue to be a driving force for us,” added Kevin. “As an important starting point, we now have ‘golden records’ with accurate, validated address data for all Home Group properties." “These records are not only improving our data management capability, they are also being used to cleanse data in other systems, including our ‘Open Housing’ management software.” In addition to the maintenance of existing properties, the solution can support all elements of customer service and the management of building, marketing and selling properties.
